Barry Callebaut
first virtual AGM
in the Habegger studio

A significant milestone: In December 2024 we successfully held the first purely virtual Annual General Meeting for Barry Callebaut, one of the largest chocolate manufacturers, in our modular studio.

Security and technical expertise
Working together with Devigus AG, the company responsible for the management of Callebaut’s share register, we ensured that the Annual General Meeting fully complied with legal requirements. Data protection and security also had top priority when integrating the speaker’s desk (Wortmeldeschalter) into the overall electronic system. This enabled shareholders linked into the meeting from around the world not only to attend the meeting, but also to speak, submit proposals and vote in real time. The results of votes were available within a few seconds, just like at a physical AGM.

We were responsible for project management as well as the production process, hospitality and streaming. Our responsibilities also extended to the supervision of all the specialist technologies associated with the event. With parallel connections, simultaneous translation and interface integrations, the project was a technical tour de force. All systems were optimally coordinated with each other to avoid any last minute technical glitches during the meeting.

As part of content production, we seamlessly translated Barry Callebaut’s visual identity into our studio setting, enhancing the Annual General Meeting with high-quality broadcast elements such as a dynamic intro, a voting countdown, and engaging waiting-time animations. Furthermore, we developed an on-air visual concept that provided shareholders with clear and continuous guidance on the agenda items under discussion.

Perfect staging and organisation
Thanks to the versatile facilities of our 190 m² modular studio equipped with professional broadcast cameras, a graphics control room and a comprehensive technology package, we succeeded in organising an AGM of the very highest standard. With three camera production units, two camera operators, intercom systems, a 35 m² curved LED wall and flexible furnishing arrangements with a lectern and audio monitoring systems, we provided perfect production conditions.

Using our technical infrastructure and comprehensive AGM expertise, we orchestrated this virtual AGM to run as an example of perfection in its organisation and dramatic effect. Overall, the Barry Callebaut team of 19 people spent 2 days in the Habegger premises for the rehearsal and the meeting itself, and had 2 meeting rooms at their disposal. We also provided the catering and suitable furniture for the entire period.
