4-phase planning for your company anniversary

Anniversaries are important communication events that can be planned well in advance. They are an opportunity to look back at milestones and at the same time venture a glimpse into the future – the perfect occasion for a company to communicate and celebrate its history, both internally and externally.

The anniversary event:
Planning phase of one year

Planning the anniversary celebration is a long process that requires a lot of internal clarification. Depending on the availability and expertise of your marketing and event department, it makes sense to bring a service provider on board. You decide at which point on the process map they step in, according to your needs and resources. The 4 phases of anniversary planning

The one-year planning for your anniversary event is divided into 4 phases of 3 months each.

Collecting ideas: 1st-3rd month

The first three months primarily involve collecting possible ideas for the event and defining the needs and goals. Several options for an event are needed to begin with, in order to make the best possible decision that will suit all of the guests.

The first phase of planning lays the foundation for all the subsequent steps, orientation and event design.

1. Target Group
  • Who is the jubilee to be arranged for?
  • Internally and/or externally?
2. Brainstorming
  • Will you need a location?
  • Is your anniversary to have a special motto/theme?
  • What’s your rough budget?
3. Types of event
  • Will there be one event or a series of events?
  • If your enterprise has several company locations: Satellite event, roadshow – or even a hybrid event?
  • Is the event going to be one-day or multi-day?

Conceptualisation phase: 4th-6th month

After the rough planning, you concretise the idea and check its feasibility:

Budget How much does each item actually cost?
Timing How much preparation is required for which items?
Staffing What tasks will you be needing staff for?
Programme Do artists/celebrities need to be booked?
Location Which venues come into question?
Event When is the event to take place?

To give your anniversary a special touch, send the “Save the Date” cards in the design of your event communication. This will create anticipation among customers, partners and service providers as well as your employees. The event will be met with enthusiasm, especially internally: Not just another company event.

Detailed planning: 7th-9th month

From month seven at the latest, you should approach and identify all the service providers and suppliers you will need, e.g. for:

Technology Programme content
Furniture Catering
External personnel Location & decoration

Don’t forget: if your anniversary festivities are to take place outside, or at an event location, you will also need various permits.

Your event is now just a few months away – start planning your pre- and post-communication now.

Implementation: 10th-12th month

In the last three months, you will start implementing and preparing content and products with longer production times, such as:

Content & scenography Costumes
Stage design Buildings

In the finalisation phase, you can also make adjustments according to the situation and the reality check:

  • Detailed adjustments
  • Fine-tuning and finalisation of content
  • Actual event design: Concretising details from the first to the last touchpoint
